Free AI Meeting Notes: Fathom Records and Summarizes Every Call for €0

In short

  • Fathom’s Free plan records, transcribes and summarizes your Zoom, Google Meet and Microsoft Teams calls.
  • Recordings and transcriptions are unlimited on Free — “free forever”, per Fathom’s pricing page.
  • A paid notetaker plan like Fathom Premium costs $20 a month — about €214 a year you don’t have to spend.

You’re in a call. You’re talking, listening and typing notes at the same time. You do all three badly. Then you spend another 20 minutes after the call writing a summary nobody reads.

The old fix was an assistant or a paid AI notetaker. The new fix costs nothing. How much? Zero. Its name is Fathom.

What Fathom gives you for free

Fathom is an AI meeting assistant. It joins your call, records it, writes the transcript and sends you a summary the moment the meeting ends. It works where most of us meet: Zoom, Google Meet and Microsoft Teams.

The Free plan for individuals includes:

  • Unlimited recordings and transcriptions. No “5 meetings a month” trap.
  • Instant AI call summaries.
  • Clips, playlists and search across your calls.
  • Bot or no bot. You choose a capture bot that joins the call, or bot-free capture (still in beta, on Mac).
  • Limited use of the smarter extras: advanced summary templates, “Ask Fathom” (chat with a single call) and the Zapier/Make integrations.

What’s not on Free? AI-generated action items, the full conversational assistant and a custom bot name. Those start with Premium: $20 a month, or $16 a month on yearly billing, per user.

Set it up in 10 minutes

  1. Sign up at fathom.ai with the Google or Microsoft account you use for meetings. Pick the Free plan.
  2. Connect your calendar. Fathom sees which calls are coming and can join them automatically.
  3. Choose how it captures. Bot that joins the meeting (works everywhere) or bot-free capture if you’re on a Mac and fine with a beta.
  4. Decide which meetings it records. All external calls, all calls, or only the ones you start manually. Start with external calls — sales, suppliers, partners.
  5. Run a test call with a colleague or a second device. Talk for 5 minutes. Check that the summary arrives in your inbox.
  6. Build your routine. After every call: open the summary, copy the key points into your CRM, email or task list. Two minutes instead of twenty.
  7. Tell people you’re recording. Say it at the start of the call. In the EU this isn’t optional politeness — you need a lawful basis to record people, and consent is the simplest one.

Where it pays off

  • Sales calls. You listen to the client instead of typing. The summary keeps what they asked for, the budget and the deadline.
  • Supplier negotiations. Prices and promises are in the transcript. No more “I never said that.”
  • Team meetings. Send the summary to anyone who missed it. Nobody needs a replay of the whole hour.
  • Interviews and onboarding. Clip the best 2 minutes and share them instead of a long recording.

Do the math

Do the math: a paid notetaker plan in this class — Fathom’s own Premium on monthly billing — costs $20 a month. At the ECB rate of October 23, 2026 (1 € = 1.1193 $), that’s €17.87 a month and €214.42 a year. Fathom Free: €0.

Now the bigger number — your time. My assumption: 12 calls a month, 20 minutes of note-writing after each. That’s 4 hours a month. Pay an assistant €15 an hour to do it and you’re at €60 a month, €720 a year. With Fathom, the summary is there when you hang up. Your cost: €0 and two minutes of copy-paste.

The honest weak spots

  • No action items on Free. You get the summary; you pick out the to-dos yourself.
  • Automations are limited. Sending every summary to your CRM via Zapier or Make is “limited use” on Free. For heavy automation you’ll want a paid plan.
  • The bot is visible. Some clients don’t like a recorder joining. Bot-free capture helps, but it’s still beta and Mac-only.
  • Check your language. Test a call in the language you actually use with clients before you rely on it.

Alternatives

  • Built-in AI in Zoom, Google Meet or Teams — if your paid workspace already includes meeting summaries, use them first.
  • Otter, Fireflies, Read AI — the same category; compare their free limits with Fathom’s before you commit.
  • A phone recorder + ChatGPT or Claude — the manual hack: record, transcribe, paste, ask for a summary. Works, but it’s three steps instead of zero.

Ivan’s Take

Unlimited recordings and AI summaries for free — this is one of the best deals in AI right now. I’d put it on every sales and supplier call from today, and only pay for Premium when you’re tired of writing action items by hand. Just tell people you’re recording; trust is worth more than a transcript.
